Registration is recorded only upon receipt of payment of the corresponding fees. Upon receipt of your registration form and payment, we will issue a registration confirmation and a settled invoice.

In cases where full payment has not been received before the meeting opening, admittance will not be allowed.



VAT is included in all prices and charged at the local rate of 23%.

Travel, accomodation and insurance:

It is the delegates responsibility to ensure travel and health insurance is in place prior to travel.

The delegate fees do not include any insurances, accommodation or travel costs.

Cancellation/Refund Policy - Delegates:
 

• For cancellations received by 23 May 2025 the paid amount will be refunded with a deduction of 30% that will be invoiced as penalty
• For cancellations received by 25 July 2025 the paid amount will be refunded with a deduction of 70% that will be invoiced as penalty
• No refund will be processed for cancellations received after 25 July 2025
• Should a delegate not attend the conference, for whatever reasons, no further claims for reimbursement can be made. No refunds shall be offered, where a service is deemed to have begun and is, for all intents and purposes, underway.

Networking Dinner

In the event that you do not attend the networking dinner there is no refund or partial refund offered or available.

Photography:

As in-person participants of the EPSC-2025 Meeting, the registered delegates authorize the organizers to use any photograph or video taken during the congress and to make it available on the congress website and on partners medias ; to the express exclusion of operations outside the context of the communication activities related to the event, and any use likely to damage reputation or any other medium of pornographic, racist, xenophobic character or any other prejudicial exploitation.

The EPSC is not associated with any hotel booking services and any company claiming to act on our behalf are false.

Be aware that many companies act fraudulently towards congresses delegates throughout the world with fake websites, scams and phishing e-mails.

We strongly recommend not to proceed with any communication with these unauthorized companies and we advise you to avoid providing any personal or bank information to them.
